I think it would be best to come to a Monday meeting and we can plan a review of previous everts with sin to a plan. There are no formal places except Monday meetings at the p homeless site. This is a first time this year to get the level of interaction we have. We are creating that response as we go during the meeting it was mentioned this is a new system. There are a lot of factors that are unknown to people that started Midway into winter. The reasons this winter was built if the reasons of last winter 21/22 which was the first attempt of actions. Likewise with summer we are working on days that was collect over summer. That data is not physically collected at a officer sure by any individual or agency. It's the collected data of our outreach, city's, 
 county, and health department. 

The best way to stay is to see what we have. 

I'm short let's plan Monday to make a plan. Lol.

I don’t know if this is happening in a formal space, I gathered people were interested during yesterdays debrief but it was unclear who would take point on that. I understand these meeting spaces are usually held within PCHS, although I’m not sure they’ll allow us to use that space when were not in inclement weather, likely a question for Delmar.

 

Something of note (that you all likely know but worth stating), extreme heat is generally identified as a “broader public health issue” as stats from the CDC show it kills more people than cold yearly. And, as we probably know, heat strongly affects people who are pregnant, older folks, and other vulnerable populations (e.g. people living in urban areas without greenery, water, or shade). Washington also doesn’t have the infrastructure to handle heat (even our homes are designed to retain heat). Given that, this could pose an opportunity to get stakeholders together to better organize. TPCHD is working on some planning for heat, including training and education. From the TPCHD perspective, our role is education, provide information and coordinate.

 

If we want to plan for warm weather, it would be great to get in a meeting space and get representatives from the required stakeholders to share what their plans are and the direction they’re headed.  

 

As I say, I’m newer to this space than the rest of you so please jump in with anything you got! This a loose collection of thoughts/ things to get us started. Looking forward to chatting more soon!

I think the survey monkey, or something along those lines (especially if anon as you mentioned) may help receive input from folks that were less active or were unable to participate in the coordination meetings and efforts. Or maybe just a request to answer a list of questions via email.

All options, are hinderances as we also have to respect the fact that people do not have the exchangeable time or access to these discussions. Each avenue, has bottlenecking and high stairs. But each option creates more access for different groups.

 

At the least, we should plan on two meetings. One to discuss what information we need to discuss and a second to hear the actual updates and discuss next steps.

But I am all ears for ideas.

I agree with a lot of what you said, I think there was a lot of confusion around roles and responsibility and what orgs could do. Reviewing groups roles and responsibilities I think is great. When you say you’re not sure about a scheduled meeting do you mean you think we shouldn’t have a formal meeting, or that you’re not aware of one happening?

 

I’m open to hearing what Jan and Jay think, and perhaps there are others we want to loop in. Maybe the first step is identifying the major groups we want to interface with i.e., governments orgs, major providers involved, and any other volunteers/advocates present.

 

From what I see we have 3 options. 1. We could send a survey monkey to get thoughts from anyone on the listserv. To do that we would need to create some questions and designate someone to collect/review answers. This option might be easier for people in terms of time and keep answer anonymous which could be helpful, but folks would probably need encouraging to engage with a new system. Option 2. An appointed liaison reaches out to each group to get answers and formulates a report. Or 3. We have a large group discussion, which would be quick and we could rely on the already established meeting system.

 

I’m happy to hear others thoughts but wanted to provide some ideas I have in my head! I think option 2/3 is ideal, I do think introducing a new technological system (e.g. survey monkey) might be a barrier for people and we would have a hard time getting people to engage in that.

 

If it’s easier to meet to plan this out I’m happy to do that. Maybe Rob would want to be included too? CC’ing him now (my bad for not looping him in sooner)

I am not sure about a scheduled debrief. But I would like to see topics that will best serve next winters efforts.

Perhaps if we discuss it as if we will not be here to act. And which programs had which responsibilities. What efforts were successful. What best supported the community at large and what coordination efforts worked best to keep orgs and outreach groups on the same page.

 

We lost a chunk of time, just trying to figure out who did what and who was able to share what. Maybe if we run a check in with each group as to what they want to be specifically called for next winter?

 

Is it worth it to maybe send out a survey monkey link for input from the full listserve?

I’m reaching out because folks have brought up doing an inclement weather debrief, but I haven’t heard any details on when that will take place/what to prepare. Do we have a list of questions that we want people to be thinking about for this debrief? And do we know who will be hosting this meeting? I reached out to Bryan Barmore to potentially get a list of all the notes we have from the meetings. Furthermore, I can prepare items TPCHD can provide, specifically data and actions we took during the events(s). Maybe this conversation is already happening, but I think it would be great to have folks review some questions before the meeting so we have time to prepare and organize our thoughts. Happy to support where I can.
